Deputy Supply Chain Manager
<b>POSITION SUMMARY</b>
The Supply Chain Supervisor is responsible for supervising and coordinating daily supply chain activities, including purchasing coordination, inventory management, warehouse operations, order fulfillment, and delivery coordination.
This role ensures that products and materials are available at the right quantity, quality, time, and cost while maintaining accurate inventory records and efficient supply chain processes.
The ideal candidate is organized, detail-oriented, proactive, and capable of coordinating effectively with suppliers, warehouse teams, purchasing, finance, operations, and other departments.
<b>KEY RESPONSIBILITIES</b>
<b>1. Supply Chain & Inventory Management</b>
• Manage daily and weekly purchasing of F&B ingredients, bakery raw materials, packaging, and trading goods
• Source and evaluate suppliers (local and imported) based on price, quality, and reliability
• Negotiate prices, payment terms, and delivery schedules with suppliers
• Prepare and control Purchase Orders (PO)
• Review stock movements, consumption, and replenishment requirements.
• Identify slow-moving, excess, damaged, or expired inventory and recommend appropriate actions.
• Ensure timely delivery and follow up on outstanding orders
<b>2. Purchasing & Supplier Coordination</b>
• Sourcing and Purchasing to ensure timely ordering and replenishment of products and materials.
• Monitor purchase orders and supplier deliveries to ensure orders are received according to agreed quantities, quality, prices, and timelines.
• Communicate with suppliers regarding shortages, delays, quality issues, and discrepancies.
• Maintain good working relationships with suppliers and escalate recurring supplier issues to management.
<b>3. Distribution & Delivery Coordination</b>
• Coordinate with relevant departments and delivery teams to ensure timely distribution of products and materials.
• Monitor delivery schedules and resolve operational issues that may affect delivery timelines.
• Ensure delivery documents and supporting records are properly completed and maintained.
• Follow up on delivery discrepancies, shortages, damages, or returns.
<b>4. Reporting & Documentation</b>
• Prepare regular reports on inventory levels, stock movements, purchasing status, deliveries, and supply chain issues.
• Maintain accurate and up-to-date supply chain documentation.
• Ensure compliance with food safety and storage standards for F&B items
• Maintain proper documentation (PO, GRN, Delivery Notes, Stock Cards)
• Support internal audits and stock investigations when needed
<b>5. Cost Control & Process Improvement</b>
• Monitor purchasing costs and identify cost-saving opportunities
• Support food cost and product cost control for F&B operations
• Analyze price trends of key raw materials and trading items
• Prepare demand planning based on sales forecasts and production needs
• Prepare simple supply chain reports (weekly/monthly)
• Ensure company policies, procedures, and internal controls are properly followed.

• Minimum 4 years of experience in supply chain, purchasing, inventory, or related operations.
• Previous supervisory or team leadership experience is preferred.
• Experience in FMCG, food & beverage, hospitality, retail, or distribution is an advantage.
