Job Purpose
The HR Executive will manage day-to-day HR operations, talent acquisition, employee onboarding, performance management, and labor law compliance. In a trading company context, this role plays a pivotal part in supporting fast-moving sales, supply chain, and operations teams to maintain high productivity and low turnover.
Key Responsibilities
1. Talent Acquisition & Recruitment
• Source, screen, and interview candidates for various roles (Sales/Account Managers, Logistics/Customs Specialists, Procurement Officers, Finance, and Warehouse Staff).
• Collaborate with hiring managers to understand specific staffing needs in a fast-paced commercial environment.
• Manage job postings on relevant career portals, social media, and industry networks.
• Build a talent pipeline for critical trading and logistics positions.
2. Onboarding & Employee Experience
• Conduct seamless onboarding and orientation sessions for new hires, ensuring they understand company policies, trading goals, and KPIs.
• Manage probation reviews and ensure a smooth transition into full-time roles.
• Address day-to-day employee queries regarding HR policies, benefits, and workplace environment.
3. HR Operations & Administration
• Maintain accurate employee records, HR databases, and personnel files in the HRIS (Human Resources Information System).
• Process attendance, leave requests, and assist the finance team with monthly payroll preparation.
• Draft official employment documents (offer letters, contracts, warning letters, and confirmation letters).
• Coordinate office administration duties relevant to employee welfare, health insurance, and workplace safety.
4. Performance Management & Training
• Assist in tracking and facilitating the quarterly or annual Performance Appraisal process.
• Help align employee KPIs with company sales targets and operational metrics.
• Identify skill gaps (e.g., negotiation, international trade regulations, supply chain software) and coordinate relevant training programs.
5. Employee Relations & Compliance
• Ensure strict adherence to local labor laws, statutory regulations, and industry standards.
• Act as a neutral point of contact for employee grievances, workplace conflicts, and disciplinary issues.
• Organize employee engagement initiatives, team-building activities, and festive celebrations to boost morale.

Industry Knowledge
- Working knowledge of local labor laws, statutory benefits, and market compensation structures for commercial/sales roles.
Soft Skills
- Excellent communication, interpersonal negotiation, conflict resolution, and multitasking skills.

• Time-to-Fill: Efficiency in hiring candidates for key trading and operations roles.
• Employee Retention Rate: Reduction in early turnover (especially during the 90-day probation period).
